Government Exam Forms: The Mistakes That Cost People a Seat

Recruitment and entrance applications are unforgiving in a specific way: the window closes, and after it does, a correction may cost a fee, may be limited to certain fields, or may not be possible at all. The work that matters happens before you submit.

Photograph and signature

Specifications differ between boards and between notifications from the same board. Read the specification in the notification you are applying against, not one from last year.

• Photographs are usually required to be recent, on a plain background, with the face clearly visible and unobstructed.
• Many boards require the photograph to carry the date, or the candidate's name, printed on it.
• Signatures are normally required in running hand, not block capitals, and must match what you will sign in the exam hall.
• File format and size limits are enforced by the upload itself - and resizing an image until it fits often destroys the clarity the specification requires.

Category and eligibility certificates

• Category certificates must be in the format the recruiting body specifies - a certificate valid for one purpose is not automatically valid for another.
• Income and asset certificates for economically weaker categories usually have a validity period, and an expired one is treated as absent.
• Domicile requirements apply to many state posts and are checked against the certificate, not against where you live.
• Where age relaxation is claimed, the basis for it must be documented, not merely ticked.

Details that must match

Name, parents' names and date of birth are checked against your marksheets. A candidate who is 'Rajesh Kumar' on the form and 'Rajesh Kumar Sharma' on the 10th marksheet has a problem, and the time to find that out is not at document verification after clearing the exam.

Where a name has legitimately changed, carry the document that evidences the change.

Practical sequence

We fill and submit these forms, handle the photo and signature specifications, and check the details against your documents first. What we cannot do is create eligibility that is not there - if a certificate is expired or a criterion is not met, we will tell you rather than submit and hope.

1. Assemble marksheets and certificates before the notification opens.
2. Check the category and domicile certificates are current and in the required format.
3. Get a photograph taken to the specification in the current notification.
4. Fill the form against the marksheets, not from memory.
5. Keep the submitted application, the fee receipt and the registration number.
